Storage of keys to common use premises in residential buildings

In order to receive quality housing services, residents of modern houses choose one of three ways of managing their house:  

  • through a management company (MC);  
  • management of a homeowners' association (HOA); 
  • direct management by the owners themselves.  

The management method depends on many parameters, such as the number of apartments in the building, solvency of its residents, etc. The main task, regardless of the choice of a particular management method, is to organize a quality sanitary and technical condition of the common property of the building.  

Accordingly, the MC, HOA or a responsible person has the right of full access to the common areas of the apartment building. These include: 

  • elevator and other shafts;

  • technical basements.

Keys to all rooms should be kept centrally and provided to all persons against signature with a list of scheduled works. Usually, keys are kept at the duty officer on a special board - a key board, with key chains with signatures, and records of taking and handing over the key are entered in the logbook. But this scheme has several significant disadvantages: 

  1. The duty officer may be away; 
  1. Keys may be mixed up; 
  1. The possibility of a key swap is possible. 

All of this can lead to the possibility that a key to a room may be taken over by an outside party. How can this be avoided?

A key to a common room can only be taken by an employee authorized to do so and entered into the system database. When a certain key is taken, the slots of other keys will be blocked - this prevents theft and substitution of keys in the system.   

Access to keys can be promptly configured by date and time. Due to fixation of employees' actions in the system it is possible to view all accounts for a certain period, which is convenient in case of necessity to solve disputable issues.
